Why Florida changed the rules
0:00In 2021, the Champlain Towers collapse in Surfside changed Florida. Since then, the state has rewritten the rules for condominiums and homeowners associations: structural integrity reserve studies, milestone inspections, official records posted online, and real consequences for boards that fall behind.
What HOA Cloud is
0:23HOA Cloud is the platform built for that new reality. It's designed around Florida Chapters 718 and 720, and it gives everyone who runs an association a place to work: the board, the property manager, the office team, and the owners.
Compliance dashboard
0:41It starts with the compliance dashboard. HOA Cloud scores your association across the categories Florida measures, like insurance, reserve funding, DBPR registration, records access, and website posting. Green is handled. Red needs attention now.
To-do list and the Sentinel
1:00Every obligation becomes a dated task. Each one cites the statute, explains what's due, and spells out the next step, like distributing a milestone inspection report, or answering an owner's records request. Ask for this week in plain English, and you get a board-ready summary. Or ask the Sentinel when your next milestone inspection is due, and get an answer grounded in the statute.
Records on file
1:25Records on File compares your documents against the official records Florida law requires the association to keep, and shows what's present, what's partial, and what's missing. To fill the gaps, drop in a whole folder. HOA Cloud reads each document, files it under its statutory category, and keeps protected records, like legal opinions and rental records, out of owners' view.
Association website and posting tracker
1:50Condominiums with 25 or more units must post their official records on a website, behind an owner-only login, and homeowners associations with 100 or more parcels must too. HOA Cloud gives each association its own website, and the posting tracker shows which required records are up, and which are late.
Owner records requests
2:11When an owner asks for records, the clock starts. Owners can request records right from their portal. HOA Cloud logs each request, counts the 10 working days, and documents how and when you responded, so you can show you met the deadline.
SIRS, milestone inspections, reserves and insurance
2:28For buildings three stories or taller, HOA Cloud tracks the structural integrity reserve study and its checklist, milestone inspections, reserve funding, and insurance, so the big obligations are tracked instead of remembered.
Board director compliance
2:43It keeps the board itself compliant, too. New directors have 90 days to file a written certification and a 4-hour education certificate, and HOA Cloud tracks every director's status. Budgets, conflict of interest disclosures, competitive bidding, and statutory affidavits each have their own tracker.
Management and office portals
3:04For management companies, every association you manage sits in one portfolio, with your team assigned to each. The office portal runs the day to day across all of your communities: maintenance requests, work orders, violations, meetings, and documents.
Owner portal
3:21Owners get a portal of their own, on any phone: the association's official records, announcements, maintenance requests, and records requests, all in one place.
The Compliance Shield guarantee
3:33HOA Cloud backs its tracking with the Compliance Shield guarantee. If it fails to flag a supported compliance item and the State of Florida fines you, we reimburse the fine, up to $14,000 a year. See how it works for your association. Book a 30-minute walkthrough at hoacloud.app.
Compliance Shield guarantee: reimburses verified State of Florida fines that result directly from a failure of HOA Cloud to track and alert on a supported compliance item, up to $14,000 per client per calendar year. Conditions and exclusions apply; see the Master Subscription Agreement.
